What's the buzz?

Face it - you cannot avoid social media these days, so you may as well go with it and use it to your advantage. But how can you best incorporate this into your next event? Here as some tips from those in the know.

  • Have social media front of mind from the planning phase instead of adding on as an afterthought. In order to do this, you need to know your audience from the outset, what content are they engaging with and how do they use their social media? Think about interacting with them prior to the event, what social media based incentives do they respond to? Get them on board prior to the event and build anticipation.
  • Make sure that your content is relevant to your event and something your delegates will want to share with their contacts. To do this, you need content that is both informative and entertaining.
  • Keep your hashtag and event apps simple and promote them prior, during and after your event. 
  • Remember to post live throughout the event.

Coffee anyone?

Ok, I want you to ask yourself - how important is coffee in your life? Well, to me it is probably one of the most important every day liquids I imbibe. Way more important than water and air! So ask yourself another question - how do I enhance my events by serving really good coffee? You’ve experienced it all before, the coffee station at your event with something that tastes as if it has been filtered through an old sock. The liquid that looks like it came out of a petrol bowser. Where, no matter how hard you try, the milk floats on top like ice floe. Yeuks!

So, for your next event go and get yourself a Barista – don’t be tight! It adds huge value to an event and your delegates will love it. And, while that though is percolating, why not personalise your cups with your company logo of your event delegates name? Give your event or incentive delegates a nice cup or mug that they can take home and every time they have a coffee they will think of the wonderful coffee they experienced at your event.

Remember, life was not meant to be easy but it was never meant to be dull either. So go out there and think 'coffee' at your next event. Create an experience at your event with coffee!

Here are some nice coffee tips to enhance your event,courtesy of Veritas Events.

  1. Your delegates arrive at the airport for a transfer to their event – don’t just shove them into a coach, have a nice cup of coffee waiting for them. Find out at registration what they like and make it happen with an airport coffee shop.
  2. When they arrive at the event have a welcome cup of coffee waiting.
  3. Try a barista course as part of your event.
  4. Include a coffee tasting experience at your events morning tea.

Events have changed forever

Technology continues to enhance many aspects of our lives and events are no different. Here are two important questions to ask your event supplier prior to use of a meeting App for any event.

The current upsurge in Meeting Apps begs a few questions. We at Veritas Events are concerned that using a meetings app does expose you to loss or data – here are a couple of ‘hard’ questions to ask your provider:

Q1: You have suggested I use a meeting App for my event – who owns the App?

If your event provider does not own the App then we suggest considering your next move. Where does your demographic data and event data then sit? If you are organising a large event like an end user group where there is a lot of training involved generating a lot of data, be sure to understand your data has to be housed somewhere – but where? In Australia? Overseas? If you use the Veritas Events meeting app it is owned and created by Veritas Events and your data is housed by an Australian data centre. So ask your provider who owns the meeting app where the meeting data is to be stored? We are not saying that a third party provider is going to let you down in any way, just ask the questions.

Q2: Do you adhere to all state and Australian commonwealth privacy laws around the integrity and protection of my data?

Again – you are in a minefield here. If unlike Veritas Events your event company has not made the investment to create their own meeting app then how can they respond this question? They will need to know that their third party supplier can guarantee this.

Remember data is precious - very difficult to produce and very easy to reproduce – that is the really scary part. Lighting the stage

As event managers, we generally don’t have to think twice about what elements need to be ticked off when ensuring we have organised all elements for our onsite event management bible. Venue….tick, events registration…tick, transfers…tick, F&B, housing, audio visual…..tick, tick, tick.

But wait… often the last thought about element is the dreaded AV. Sure, as we know we need a screen and projector, maybe some lapels and a sound system, but what about the lighting? “Surely room lights will be enough…. won’t they?”. Actually, in most cases they won’t be.

Lighting is often forgotten, as we don’t truly understand why we need it and what it can do for our corporate events. Yes, coloured lights make rooms look pretty, sometimes amazing, but that’s for gala dinners, product launches and opening entertainment acts. What about your everyday business address? Your staff update or your breakout room?

As meeting planners we need to know what every element we are booking does and why we need it. A simple lectern spot can help draw focus to our speakers, helping enhance their message and presentation. The use of lighting to wash the stage in a warm glow allows us to dim the room lights and not have our projection washed out by those glaringly bright fluorescents. Our corporate video team will love us for not making them overexpose their camera for their video record. However most importantly, we need to be able to see who is speaking to us. If we cannot see the mouth we can actually struggle to hear and comprehend what is being said to us.

Speakers also need to understand why we are using lights on stage. Whether we are doing a video record, webcast or straight up in room meeting, we need to be able to see our presenter. A simple address at an incentive program that may only go for 5 minutes still needs our full attention, and lighting can often be the key to drawing everyone’s focus.

Conference management is more than just booking everything we know we need; it is a must to know why we need it. Good event management companies know what elements are crucial and what can be options, but a great event management company will know and be able to tell you why.

Consider a highlights video for your next event
